Wedding rentals for a property wedding run well past the tent: the floor people dance on, the tables and chairs and linens, the glassware, the lounge, the lighting, the heat for an October night, the restrooms and the power that carries all of it. We own every one of those and deliver them on one truck order, with one crew and one contact.
Why a property at all
Couples do not tent a lawn to save money. They do it to get the day they wanted
Almost every couple who calls us about a property wedding has already looked at venues. What sends them back to the lawn is usually one of four things, and knowing which one is yours changes what we quote.
The first is the place itself. A family house, a grandparent's farm, a waterfront lot somebody grew up on. No venue can be that, and a tent is what makes it hold two hundred people for a night. The second is the absence of a minimum. A venue sells a package with a floor under it, and if your list is short the package does not shrink with it. On your own ground you buy exactly what the day needs.
The third is the food. If you want your own caterer, or a family friend cooking, or a raw bar instead of a plated dinner, you generally cannot have that inside a venue contract. On a property the kitchen is whatever we build, and your caterer works from equipment chosen for their menu. The fourth is the clock. Venues run in blocks. On your lawn the ceremony starts when the light is right, dinner runs long if it wants to, and nobody turns the lights up at eleven because the next party is loading in.
It is also the moment most couples realize how many separate companies they were about to hire. A tent company, a rental house for tables and chairs, a linen supplier, a party rental for the dance floor, a lighting vendor, a restroom trailer company and somebody for the generator. Seven contracts, seven delivery windows, seven people who each know one piece of your lawn.

Photographs flatten a tent. Standing under one is different: you read the height, the way the light comes through the top, and how much room there actually is once the tables are in.

The difference one order makes
Seven vendors, or one
This is the practical argument for renting a wedding from one company, and it has almost nothing to do with the catalog. It is about the week of the wedding.
Split across vendors
Seven delivery windows you have to sequence yourself, and none of the companies talks to the others. The floor arrives before the tent is up and sits in the driveway. The linen count was taken off a different table count than the one that got delivered. When it rains on Thursday, you are calling four companies to add sidewalls, heat and flooring, and at least two of them are already committed elsewhere that weekend.
If something is wrong on Saturday morning, every vendor can prove it was not their piece. That is not bad faith. It is what happens when nobody owns the whole schedule.
One order
One delivery, sequenced by the crew that has to install it. The linens are counted off the tables on the same order. The dance floor is sized against the same guest number. The lighting is planned for the tent we are actually bringing, because we know which one it is.
When the forecast turns, you make one call to the company that already has your date and your layout. Since 1975 this business has grown from 2 tents to more than 1,000, and the rest of the inventory grew with it for exactly this reason: couples kept asking who else they had to call.

The day in order
What each part of the day asks the property to do
A wedding is not one room. It is six or seven of them in sequence, often in the same footprint, and the equipment list follows from that rather than from the guest count alone.

Two of those moments usually decide the tent. A ceremony on the property means either a larger structure or a second cover, because a room set in rows cannot be flipped to dinner with guests standing in it. And a dance floor wants height above it, which is one of the reasons couples end up looking at sailcloth tent rentals once they see the photographs.

The calendar
Why a Long Island wedding date commits early
The season here is short and it is not evenly loaded. That is the single biggest reason couples who wait find out their date is harder than they expected.
The outdoor season runs roughly May through October, and inside it two stretches carry most of the weight: June, and the run of Saturdays from early September through mid October. Those weekends are the ones where the light is good, the ground is firm and nobody needs a plan for the heat. They are also the weekends when every tent on the island is out at once, along with the floors, the heaters and the crews to install them.
Spring has its own problem, which is ground rather than weather. April and May look fine on the surface and hold water underneath, so a spring date is more likely to need flooring than a September one. October is the opposite: firm ground, and a real need for heat and sidewalls after dark. A May wedding and an October wedding on the same lawn are two different orders.

Before you call
Three things to have ready, and one to stop worrying about
You do not need a finished plan. You need enough for us to tell you whether the property works and roughly what it takes.
The date and the address
The date tells us what is still available and what the weather asks for. The address tells us the ground, the access and which town's rules apply. Those two answers alone move the conversation further than a full inspiration folder does.
A guest number you believe
Not final, just honest. A range is fine. Everything downstream scales off it: the tent footprint, the table count, the linen order, the floor size, the restroom count and the power. A number that moves by twenty is normal. One that moves by eighty changes the tent.
Which moments are on the property
Ceremony on the lawn or at a church. Dinner seated or stations. Dancing or no dancing. Anyone staying for breakfast. Those answers are the checklist above, and they decide more of the order than any preference about color or style will.
