What Commack organizers ask

Yes. Tell us the exact wording the district or the property owner wants and who has to be named on it, and we will issue it. Send that request as soon as the date is booked rather than in the final week, because the paperwork is usually what holds an approval up, not the tent. The documents we issue and how to request them are set out on forms and machine manuals.
Often it should. A lot is firm, level and drains, and it puts the event next to the doors and the lighting instead of out on wet grass. The trade is parking and anchoring. Nothing gets driven into a paved surface, so the structure is ballasted with weight at every leg, and the weights need room outside the tent line. If your event repeats every year, tell us that and we will talk about holding the same weekend ahead of the rush.
Our own crew installs and strikes everything we bring. Volunteers are welcome to be there and are genuinely useful for the things only your group knows, like where the serving line should face or which gate the neighbors use. What we ask is that nobody helps carry frame or handle a top. It is heavy, it goes up in a set order, and the install is safer and faster when the crew works alone.
