The easiest mistake to make in this town is to plan a field event the way you would plan a yard event, because the ground looks friendlier. It is flatter, it is bigger and there is nothing in the way. All true, and all of it hides the three things a yard quietly supplies that a field does not: power, water and a building to retreat into.
Open ground also carries more wind than a fenced yard, because nothing around it breaks the air up. That does not make it difficult, it makes it specific. Anchoring gets worked out for the span and the site rather than copied from a smaller job, and a big tent on open ground is a structure with a plan behind it rather than a bigger version of a garden party canopy.
The rest is straightforward, and Bethpage makes it more so. The ground is level, vehicles can usually get close to where the tent is going, and the run from our warehouse is a plain one. That combination is why a large open-ground event here is a normal working day for us rather than an expedition.

Inside the tent so people can see their plates, and outside it so nobody crosses dark ground getting back to the cars. The second part is the one that gets forgotten until the sun is already down.
Power
A field has none and a house has less than you think. Everything that lights, heats, cools, warms food or amplifies sound goes on one list, and that list decides whether a generator is needed and how big.
Restrooms
On open ground this is not optional, and with families present the count goes up rather than down. Units are placed near enough to be found and far enough to be out of the way of the tent.
A floor to dance on
Grass is fine for eating and poor for dancing, especially after an afternoon of foot traffic. A dance floor needs a flat, solid base of its own, which is a separate build from the tent above it.
Sides and warmth

We walk the ground, measure the footprint and find out who controls the site. The layout gets drawn, the power list gets written, and the documentation goes to whoever is asking for it. For a yard job this is short. For a field job it is the part that decides how the day goes.
On the day
Tent and anchoring first, then flooring, tables, chairs, games and lighting in that order, so nothing is carried across a finished floor. Larger builds go up the day before. You have a phone number that reaches the company that owns the equipment, not a call center.
After
