Tent rental questions from Long Island hosts, answered

These are the tent rental questions Long Island hosts ask us most often, sorted into six groups so you can find yours without reading the rest. Where the honest answer is that it depends, we tell you what it depends on.

You will not find a price on this page, and there is a reason for that. Two tents of the same size on two different lawns are two different jobs, so we quote from the site and the list rather than from a table.

Before you start

How to use this page

The questions below are the ones that come up on almost every job, whatever is going under the roof. They cover how an order gets placed and changed, what we need from you and your property, what arrives on the truck, what the install and breakdown days look like, how weather gets handled, and what sits inside a quote.

Questions about a particular kind of tent, or about a particular town, are answered where they belong. The tent rentals pages go family by family through sailcloth, clear top, high peak and clearspan and what each one is good at. The service areas pages cover the ground, the access and the permitting town by town, because a waterfront lot in Sagaponack and a village property in Northport are different jobs.

If your question is not here, the phone is faster than any page we could write. Somebody who works on these jobs will pick it up.

Twenty-two answers

Pick a group. Every question stays on the page, so you can work through one topic at a time instead of scrolling past twenty answers to reach the one you came for.

Booking and dates

You get the quote in writing with the whole job on it, you tell us to go ahead, and we put the date, the equipment and the crew on the schedule. Nothing is held for you on a verbal conversation alone, because the same tent gets asked for by somebody else the following week. The written agreement is where the terms for your particular job live, and we will walk you through it line by line before you sign anything.
Almost always, and it happens on most jobs. The structure is the part that wants to settle earliest, because the tent size drives the layout, the flooring and the anchoring. Tables, chairs, linens, lighting and the smaller equipment stay adjustable much later, which is why we would rather you booked the tent early with a rough count than waited for the last reply card.
Tell us the moment you know, because the answer is entirely about what else is on the calendar. Moving to a quiet weekday is usually straightforward. Moving onto a Saturday in the middle of the season depends on whether that tent is already standing somewhere else. What the move means for your agreement is set out in the paperwork for your job, so call and we will read it with you rather than guess at it here.
Yes. We run several crews and several trucks, and a busy Saturday in September has installs going up across both counties at once. Your install is scheduled in advance as its own job with its own crew, not squeezed into a gap. That is also why we want the access details early: a truck that cannot get down a drive holds up more than your event.

The shortcut

When to stop reading and just call

A page of answers is useful right up to the point where your question is about your own property, and then it stops being useful. If you are looking at a sloped yard, a courtyard with one narrow way in, a rooftop, a date that is close, or a plan that has already changed twice, that is a conversation rather than a lookup.

Bring the date, the address and a rough head count and the call gets productive quickly. If you would rather write it down, the contact page has the quote form and directions to the warehouse on it.
