Where the trucks live
The warehouse in Holtsville
100 Corporate Dr sits off the Long Island Expressway in the middle of Suffolk County, which puts our trucks roughly an hour from Montauk and roughly an hour from the Nassau line. That is why a South Fork install and a Gold Coast install are both normal days here.
What is inside is a warehouse, not a showroom. Tent tops and sidewalls are folded on racks, floor panels are stacked, tables and chairs sit on carts, and most of the floor on any morning is a loading operation.

What to have ready before you call
None of this gates a conversation. Call with none of it and we will still help you. But every answer you already have pulls the quote a step closer to a real number, so tick off what you know and see what each one decides.

The date
The first thing we check, because it decides whether the job is possible at all. Saturdays through late spring and early fall book first, and a tent standing on another lawn cannot also be on yours. A date still moving is fine, so long as you say so.
Decides availability and which tents are freeThe property address
An address tells us the town, the run for the trucks and often the ground before anybody has walked it. It also tells us which building department the job falls under, which is where the permit conversation starts.

Rough is genuinely enough at this stage. Two hundred against two hundred and forty rarely changes the tent. Eighty against two hundred and eighty changes the tent, the tables, the floor and the power all at once.

A caterer arrives with a list of their own and needs somewhere to work, out of sight of the guests. Knowing who is cooking stops us quoting equipment you are already getting, and stops them turning up to no back of house.

Lawn, gravel, blacktop, patio, sand, or a mix of all five. Grass takes stakes, hardscape takes weights, and a slope has to be dealt with before anything else goes down.

Tell us what outlets are within reach of the tent and what they are plugged into. House circuits run a string of lights and not much else once heat, a band and a caterer are all pulling from the same panel.

Geography matters to a quote more than people expect. A waterfront lawn in Sagaponack takes wind an inland yard in Jericho never sees, so the anchoring plan is different. North Fork ground stays soft well into spring. A rooftop in Brooklyn has no stakes at all and a freight elevator instead of a driveway.

A conversation
We talk through the date, the property and the event. Most of it is us asking questions: where guests arrive, what is already on the lawn, who else is working the job. By the end you will know whether the date is open and what kind of structure the site wants.
A site survey where one is needed
Anything with a slope, a tight access route, an unusual surface or a big span gets measured in person before it is quoted. Straightforward jobs on flat lawn often do not need one. Survey and layout are part of how event production works here.
A written quote
You get the whole job in writing: the tent, the flooring, the tables, the linens, the lighting, the power, the heat, delivery, install and breakdown. One document from one company, so nothing turns up later as a line item nobody mentioned.
From there it is yours to think about. Numbers move as the guest count firms up, and that is normal. We would rather revise a quote twice than have you sign one built on a head count you were guessing at in February.
